Governor Thomas Johnson High School Band Booster General Meeting Minutes

General Band Booster Meeting --- November 11, 2009

Meeting convened at 7:04 p.m. by Mike Hillman, president.

Top 10 list – things to be remembered about the 2009 marching season…….

Minutes from October meeting were approved as posted.

Treasurer’s report: 10-1/10-31: beginning balance in student account $25,881.45, general account was $1,368.28; uniform fund was $5,593.03 for total of $32,842.76. Income for month was $17,474.49 and expenses of $16,812.98 for a net income of $661.51.

Student accounts: Statements are available about 1/3 of the accounts are in arrears. All account balances must be paid up or students will not be written into the indoor shows. Likewise, any payments being made towards the trip will be used to offset negative account balances before applying to the trip cost.

Fundraiser: People have really stepped up to help run the fundraisers. Homecoming went off without a hitch, holiday lighted block sales, poinsettias and candy sales are ongoing. They sell the candy bars in school for the most part. Kids taking boxes of candy will have their account debited at the time they take the box and then credited for a net profit when the money is turned back in. Some teachers will request that they not do any sales during class time. Breakfast with Santa is coming up on December 12 th. The board welcomes any ideas/help anyone is ready to give for fundraising. Let Debbie know how many wreaths you have sold. Mrs. Caulfield indicated that there are several staff members who are interested in the poinsettias and wreaths. Jen Baker passed out a Keys Exploratory Committee Survey. This past season the stand earned approximately $10,940.84. We also earned $895.24 in tips.

Mrs. Caulfield addressed the group. She felt the band had a truly remarkable year. She feels we truly peaked at finals and that was a first for us. She thanked every parent in the room for everything done to help make the season a success. We should have a proto-type of the new uniforms right after Thanksgiving. By the next booster meeting she will be able to show it to us and give us an exact price. There is a chance (unable to quantify how big of a chance) that the kids could have the new uniforms in time to wear them at Disney. They are going to be either black/red or navy/red. We will explore the possibility of allowing students to buy their jackets from the old uniforms. Indoor season meetings are following the booster meeting.

Grant committee still has not been able to meet but Mike would like to follow through with that now that the marching season is over.

Trip committee: additional information went out last night. Mike is signing a room contract tomorrow; so he has to have the form and money before he leaves tonight. If not, the student/family will not be able to go. The meal card applies to only the students who are going. The adults will not get a meal ticket. We are definitely flying; students will pay $1,016/person, adults w/2 to a room will be $950, 3 to a room will be $817, and 4 to a room will be $757; this price does include airfare. One breakfast is included. The rest of the time the students will need to buy their own breakfasts. The dinner before Illuminations was booked so in place of that we will have a day at one of the water parks. Mike has a tentative itinerary that he will post to the website. It may change some between now and when we leave. We will be marching on Monday, March 29 th. We return on Friday, April 2 nd.

Uniform committee gave thanks to anyone who did anything to help with the uniforms. Unfortunately, we need to start fitting for concert dress. Trish will send out an e-mail after Thanksgiving to coordinate people to come in and help with that fitting.

Pit Crew needs to do some clean up stuff soon, but Tom will send out a note to the group.

The pit crew dinner will be Nov 18 th.
