General Band Booster Meeting --- September 9, 2009

Meeting convened at 7:04 by Mike Hillman, President. In attendance: Carrie Kurdt, Kathy Hilton, Jennifer Baker, Donnie Stull, Maggi Gasemy, Lori Aleshire, Nancy Voell, Jean Wright, Debbie Langowski, Carrie Anderson, Dean Kirschling, Mike Colwell, Trish Colwell, Mark Weitzel, Camille Weitzel, Sue Fowle, Andy Hogan, Dennis Kieft, Mary Semler, Wendy Roit, Amelia Ecker, Laura Hogan, Vicki Smith, Ben Rubio, Doug Brown, Susan Brown, Trish Kalinyak, Diane Travis.

Mrs. Caulfield addressed the group. She thanked everyone who has been working on props, flags, uniforms, and anything needed to get ready for the coming weeks. We have 2 Thursday night football games coming up; the 17th and the 24th. Senior recognition night is on the 24th. Students have requested that parents come out and watch final run-throughs. They need an audience to help them prepare for the next few weeks. The pit orchestra group for Cinderella has really taken on an additional burden and she thanked them for that effort. SAT tests fall on big competition days. If a student is a junior, they should plan on taking their SAT test in the spring if at all possible. She offered to speak with people individually if they have questions about the redistricting decision. Current sophomores and juniors will automatically stay at TJ. The incoming freshmen class will go to Oakdale. Oakdale will have a band but Mrs. Caulfield does not know how big that will be. This is a 4 year process. At the end of the process, all schools with the exception of Brunswick and Catoctin will be around a 1200 student population level.

Minutes from August meeting were posted on the website. Minutes were approved as posted.

Treasurer’s report: we have income 20,013.14, total expenses 17,030.57 and a net income of 2,982.57. We have made $680.87 in tip money from the Keys games.

Student Accounts: Andy has statements that he has been handing out. We are still missing a complete check for July and have not received August checks from Keys. See Andy at the end for student account balances. The board will be sending out letters to anyone who has a negative balance.

Fundraisers: In the middle of enjoy the city coupon books – it ends on the 16th. Yankee Candles start on the 16th. October 16th is the Halloween party. We will have more information coming on that shortly. It is designed for children aged 2-10 as a safe and fun fall celebration. It will take place from 6-8 followed by the trunk-or-treat. Every first Friday we have a bake sale at dismissal. We only made $16.50 but given the short notice that we gave, Maggi thinks it went really well. The bake sales will be a uniform fund fundraiser. November we will be doing wreaths and poinsettias and Trish will be doing her lighted holiday blocks.

Sewing: Thanks to Jean Wright, our sewing crew made the newspaper. Laura announced that we are doing another sewing day this Saturday, the 12th. We need all the help we can get. We can use people who are not able to sew; we need pinners and cutters as well as sewers. It would be really nice if we can finish them in time for the preview show.

Public Relations report is the newspaper article. We thanked Jean Wright for stepping up to this position.

Uniform Committee: We have another student coming back to the band who needs his uniform re-put together and have one other student who still needs fitted. Hopefully on Friday, the students can bring everything home. Guard students can try on their shoes but cannot take them home tonight as they cannot be returned if that happens. Trish needs help at the beginning of events to hand out uniforms and at the end to put them back in. This involves checking to see that they have been put away properly. We have only 2 or 3 uniforms still out for sewing. Mrs. Caulfield is in the midst of firming up what the price will be to purchase the new uniforms. We have enough money for the deposit but will need a large amount raised by next fall to take possession of them.

Special Events: The picnic is this Saturday. Susan needs coolers and help setting up and grilling. If you haven’t volunteered to do any of that, we also need help with clean up at the end so that we can all get out of here at a reasonable time. She also needs more food donated for senior night. This is going to be their dinner that night so anything people can bring can and will be used. We don’t need any dessert items, just actual food.

Mike passed around a bat from the Keys to have anyone who has worked there sign it and we will give it to Linda Norris, who has been scheduling all of the workers for the Keys.

Right now the Disney portion of the trip cost is $700 and added to that will be the price for the plane fare. Tom Kurdt is helping Mike out by comparing prices so that we can be sure we are getting the best price. Mike is still looking for somebody to help out as the trip chair assistant so that people can learn what needs to be done.

We also need a grants chair. We could really use a person who has some expertise in this arena to help raise the funds needed to run this program.

Chaperone Committee: we passed around a sign up sheet for people who are interested in helping with the chaperone responsibilities.

Props: Dean Kirschling is heading up the prop committee. They have the prototype done, he thinks it will be strong, hold up well in the wind and will use 2 to 3 people each to get them on and off the field. We can build all the frames before the pictures are done. Dean is thinking the 19th will be the next time the prop crew gets together.

Pit Crew: We’re going to have a brief meeting this evening.

Mike explained Kill Drill. The purpose of kill drill is to clean up the show. It’s a very intense, right of passage that the kids actually look forward to.

Our first competition is at Century High School on September 26th.

Mike thanked Tom for keeping up with the Yahoo group as well as helping out with shopping the trip prices. Thanks to Jean Wright for getting us in the paper and for volunteering as our public relations person. Thanks to Maggi for all that she does and to Trish for the work on the uniforms, Jerry Shuck for tractor work; Dean and Nick for prop crews; Jen for taking the treasurer position, and Laura for the sewing party. New members were welcomed. Susan Brown for all that she does and Linda who is not here.

Drew Kibler found out that there is a cell phone company using one of the light towers. We’re going to get a check delivered to the school that will be divided among the band boosters, the sports boosters and the PTA.

Mike asked us to make the effort to introduce ourselves to new people and invite them to join in and help and become part of the booster family. Ben suggested that we do a yard sale.
